Assigning Accessions to Fonds
Once you've created your Fonds structure and your Accessions, you need to connect them — placing each Accession in the right place in your hierarchy.
What "assigning" means
An Accession is a batch of files you've uploaded. A Fonds is the organisational structure that gives those files context and meaning. When you assign an Accession to a Series within a Fonds, you're saying: "These files belong to this part of this collection."
Method 1: Drag and drop in the Fonds view
- Open Fonds in the sidebar
- In the left panel, you'll see your Fonds tree (Fonds → Sub-fonds → Series)
- In the right panel, you'll see your Unassigned Accessions
- Drag an Accession from the right panel and drop it onto the target Series in the left tree
Method 2: Assign from within an Accession
- Open an Accession
- Click the Location field in the sidebar (it will say "Unassigned")
- A dropdown appears showing your Fonds tree
- Select the Series or Sub-series where this Accession belongs
- Click Save
Viewing assigned accessions
When you click on a Series in the Fonds view, you'll see all Accessions assigned to it, along with their file counts and date ranges.
Moving an accession to a different location
To reassign an Accession:
- Drag it to a new location in the Fonds tree (Method 1), or
- Open the Accession and change its Location field (Method 2)
Unassigned accessions
Accessions that haven't been placed in a Fonds are still fully functional — they're searchable and accessible. But they won't appear in exported Finding Aids or EAD3 exports until they're assigned to the Fonds structure.
Don't let "assigning to Fonds" block you from uploading. Create your Accessions first, then organise them into the structure when you're ready.
